Bulk download of published documents

  • Updated

It is possible to carry out a bulk download of your published documents in Scilife, to do so follow the steps below:

  1. Select which documents you would like to download from the Document Listing page.
  2. From the dropdown, highlight Download.
  3. Click on Apply to start the process.
  4. You will be asked to confirm the download, click on Confirm.
  5. An alert will pop up, click on Ok.
  6. On the Document Listing page there is a My Downloads button, go here to view your downloads.
  7. Once your downloads have been processed and the status has changed to 'ready' you will be able to finalise the bulk download.  The documents will download as a zipped file to your device.

It is important to note the following:

  • Only documents in the Published status are available as part of the bulk download. You will be able to select documents in status Approved, not Published, however the version included in the download package corresponds to the last published version and not the current active version in Approved, not Published status.
  • Documents that have the blocked downloads setting applied on Document/ Document Type level will not be downloaded
  • A user can only see  their own bulk downloads and not the downloads of any other users
  • All system users can carry out this action
  • The download is dependent on a set of scheduled tasks in the database therefore you will need to allow up to 60 minutes for the documents to be available
  • The limit of downloads depends on how many items you have visible in the listing page, and thus is capped at 100 items at a time.
  • The document will be downloaded as a word file, unless the document has 'enable PDF creation' switched on, in which case it will be a PDF download.
