What can you do in an Audit depending on its status?

Draft

The Audit plan is drafted. At this point, the Audit can be modified, and Documents, Events, CAPAs, Change Requests, and Risk Assessments can be linked.

Hosts and Auditors can be modified as well.

The Planned Date can be changed only when changing its status from Draft to Planned.

Depending on Module Settings, Audit Findings can already be added at this stage.

 

Planned

The Audit plan is reviewed and agreed upon. You can add new Hosts and Additional Auditors, but not remove the already existing ones. The roles allowed to change the Audit status from Planned will depend on the Audit Type:

  • Outgoing: Lead Auditor and Additional Auditors can change the status from Planned to In Progress or Audit Performed. They can also reject the Audit back to Draft.
  • Incoming: Hosts can change the status from Planned to In Progress or Audit Performed. They can reject the Audit back to Draft.
  • Internal: Lead Auditor, Additional Auditors and Hosts can change the status from Planned to In Progress or Audit Performed. They can also reject the Audit back to Draft.

Depending on Module Settings, Audit Findings can already be added at this stage.

In Progress

The Audit is in progress and Findings can be added by Lead Auditor, Additional Auditors, and Hosts.

You can add new Hosts and Additional Auditors, but not remove the already existing ones.

At this point, Documents, Events, CAPAs, Change Requests, and Risk Assessments can be linked.

The roles allowed to change the Audit status from In Progress will depend on the Audit Type:

  • Outgoing: Lead Auditor and Additional Auditors can change the status from In Progress to Audit Performed. They can also reject the Audit back to Planned.
  • Incoming: Hosts can change the status from In Progress to Audit Performed. They can reject the Audit back to Planned.
  • Internal: Lead Auditor, Additional Auditors and Hosts can change the status from In Progress to Audit Performed. They can also reject the Audit back to Planned.

By default, Audit Findings can always be added when the Audit is in Progress status.

Audit Performed

The Audit is complete and Findings can be added by Lead Auditor, Additional Auditors, and Hosts.

You can add new Hosts and Additional Auditors, but not remove the already existing ones.

At this point, Documents, Events, CAPAs, Change Requests, and Risk Assessments can be linked. The roles allowed to change the Audit status from Audit Performed will depend on the Audit Type:

  • Outgoing: Lead Auditor and Additional Auditors can change the status from Audit Performed to Reported. At this point, the status cannot go back to In Progress.
  • Incoming: Hosts can change the status from Audit Performed to Reported. The status cannot go back to In Progress.
  • Internal: Lead Auditor, Additional Auditors, and Hosts can change the status from Audit Performed to Reported. The status can't be reversed back to In Progress.

By default, Audit Findings can always be added when the Audit is in Audit Performed status.

Reported

At the Audit Reported status, the Audit can't be edited anymore.

The roles allowed to change the Audit status from Reported will depend on the Audit Type:

  • Outgoing: Lead Auditor and Additional Auditors can change the status from Reported to Closed. At this point, the status cannot go back to Audit Performed.
  • Incoming: Hosts can change the status from Reported to Closed. The status cannot go back to Audit Performed.
  • Internal: Lead Auditor, Additional Auditors and Hosts can change the status from Reported to Closed. The status can't be reversed back to Audit Performed.

Depending on Module Settings, Audit Findings can still be added at this stage.

Closed

The audit is complete, the Audit report has been approved, and all Findings have been completed. The Audit can be viewed and downloaded, but it is not possible to edit it or add any new Findings.

Relevant for: Administrators / Managers / Regular Users.
Please note: Per default Settings, Audit Findings can be added only while In Progress or Audit Performed Status. However, you can set the system to allow you to add Findings in other statuses as well. To do this, go to Audits > Module Settings > General > Permissible status for Finding Management.
