Whereas the Unique ID applies to a printout of a certain document, the Group ID applies to printouts of different documents, as long as they belong to the same Group ID.
In other words, when printouts have the same Group ID, they will be bundled under the Group ID. It is a simple way to have an overview of all the printouts that belong, for example, to a batch. Instead of searching the printouts one by one in the Controlled Print List, you can click on the Group ID and all the printouts will appear that belong to it.
When clicking on a Group ID, you'll get redirected to the details page.
In the middle column of the details page, you can generate a Reconciliation Report by clicking on the Generate Report button:
On the top right, there are the following three tabs:
- Printouts with an overview of all the printouts that belong to the Group ID and have been performed by whom and when, which reason there was for a reprint, the status of reconciliation and the possibility to add comments.
- Reconciliation Issues with an overview of any issues that popped up during the reconciliation of printouts and the possibility to add comments. Note: When you are reconciling the printouts of a document and there are one or more pages missing, the platform will log it automatically as a reconciliation issue.
- Audit Trail with an overview of activities performed. The audit trail can be exported as a list (Excel or PDF) and can be printed.
- A Group ID stores information about different Unique IDs that belong to the same Group ID, whereas a Unique ID only contains information about that specific Unique ID.
