What is the Allow to Override Functionality in Document Types?

When creating a new Document Type, for certain fields there is an "Allow to override" toggle. 

The purpose of this functionality is to determine whether certain fields within the Document Type are configurable at Document level.

In other words, when creating a Document that pertains to said document type, by switching the "Allow to override" toggle on, this field will remain configurable when creating a new document.

However, by leaving the "Allow to override field" off as it is by default, that field will be locked and it will not be configurable when creating a Document from said Document Type.

How to Make Document Type Fields Non-Configurable for Pertaining Documents

  1. Go to Documents > Document Types.
  2. Click on the New + icon

     3. Turn the "Allow to Override" toggle off for non-configurable fields.

     4. Press Save.

Which Fields is the "Allow to Override" Functionality Available for?

At present, this option is available for the following fields:

  • Groups
  • Tags
  • Folder
  • Authors
  • Periodic review
  • Notify about approaching Periodic Review date
  • Enable PDF creation
  • Block downloads
  • Block regular prints
  • Reviewers
  • Approvers
  • QAs
  Relevant for: Administrators / Managers
  Please note:
  • Any changes made with the Allow to Override switch at Document Type level will only affect newly created documents upon saving these changes. In other words, it will not affect existing documents.
  • If you need to update the settings of a Document where Allowed to Override was disabled at the time of Document Creation, you will need to delete or obsolete the Document in Question and create or import a new one in its place.
