ID Prefixes are predefined on Document Type level.
Each Document Type needs to have at least one ID prefix. Multiple ID prefixes per one Document Type are possible as well.
You can create more ID prefixes by clicking on the + button on the Document Type Form page:
You are able to remove an ID prefix by clicking on the - button on the Document Type Form page but only if there is not a single Document created with this ID prefix:
Prefix wise vs Document wise running numbers
If you configure multiple ID Prefixes for one Document Type, its important to specify what the consecutive numbers will be based on:
- Prefix-wise: each ID Prefix you have set for this Document Type has its own numeric chronological order (e.g.: SOP-A-1, SOP-B-1, SOP-A-2, etc.).
- Document type-wise: each ID Prefix will not have its own numeric chronological order as the numeric order is set at Document Type level (e.g.: SOP-A-1, SOP-B-2, SOP-A-3, etc.).
The default position is to maintain Document type-wise running numbers, prefix-wise will need to be toggled on to be applied to a Document Type.
Relevant for: Administrators / Managers.
Please note: An ID Prefix cannot be changed anymore once a Document has been created with this specific ID prefix.
