What is the PDF Annotations functionality for?

The PDF Annotations functionality is to be used for reviewing files that are uploaded in PDF format

This can be particularly useful for marketing material, labels, packaging, etc. These types of files will be edited outside of Scilife and then uploaded as PDF files.

While the Documents are Under Review, reviewers will be able to make annotations which are then saved immediately in the cloud.

The file with the annotations made can be exported and sent to the people responsible for editing the file outside of Scilife.

Working with the PDF Annotations

The typical workflow for working with PDF Annotations would be as follows:

  1. Create a new Document Type. This Document Type will typically not have a template, a new file will be uploaded each time a Document is created.
  2. Create a new Document, based on this Document Type. When saved, the new Document will go to Created Status.

  1. Upload the PDF file and the Document will go to Draft status.

  1. Set the Document to Under Review.

5. While Under Review, reviewers will be able to Make Annotations on the file by clicking on the PDF Annotations icon. The annotations will be saved to the cloud.

6. Once Reviewers finish reviewing and they sign off on the Document, it will go to Under Signing by Author.

7. The Author(s) can then export the file with the annotations and make sure the suggested modifications are made.

8. Once the file has been updated, the Author can upload the newly edited version and sign off, the Document will then go to Under Signing by Approver.

9. While Under Signing by Approver, the Approver(s) can download the updated file and also export the original file with the annotations made by the Reviewers. Once the Approver has compared the two and verified if all the necessary changes were made, the Approver can sign off and set the Document to Under Signing by QA.

Alternatives to the workflow:

  • The Reviewer(s) can choose to reject the Document entirely, without making annotations. It will then go back to Draft and the Author can upload a new file.
  • While Under Signing by Author, if the Author sees that the number of annotations made by the Reviewers is very comprehensive, the Author can choose to reject the Document and set it back to Draft in order to upload a completely new file and then have it go through a new review process.
