The setting is to be found in MANAGE > Scilife Settings > Permission Settings. It is available for all the modules which have been activated in your environment.
Only Administrators can edit this setting.
Basically, the setting determines which System Roles will be allowed to update the users that have been assigned a role in items of the different modules.
Per default, it is set so that only Administrators are allowed to do this.
Below we explain how Administrators can edit this setting. Also, we will provide examples of what the System Roles that are added here will be able to do in each Module.
Editing the allowed system roles to update entity roles setting for Document Control
- Go to MANAGE > Scilife Settings.
- Go to Permission Settings.
- Go to the Documents Tab.
- In the Allowed system roles to update entity roles field, add the System Roles that should be allowed to edit roles in Documents.
- Per default, only Administrators are configured here.
- You can add Managers and/or Regular Users.
- Read-only Users cannot be added.
Updating Entity Roles in Document Control
The System Roles that have been configured to be allowed to update entity roles will be able to do so either directly from the Document Listing Page or through the Document Details Page.

In both cases, the Update Roles window will open and the User will be able to edit the Users assigned to the different roles:
This means that:
- When Managers are configured to be allowed to update entity roles:
- A Manager, who does not have a role in a Document will be allowed to edit the Users who do have a role in the Document such as the Author, Reviewer, Approver, and/or QA.
- Managers will have access to edit the entity roles of Documents in all versions, intermediate (0.1, 0.2, ...1.1, 1.2, etc) and Published (1.0, 2.0, etc.).
- Managers will only be able to see the Documents that have been assigned to the same Group(s) to which the Manager has also been assigned as a User. In other words, they will also only be able to edit the entity roles of Documents that have been assigned to the same Group(s) to which the Manager has also been assigned as a User.
- When Regular Users are configured to be allowed to update entity roles:
- A Regular User, who does not have a role in a Document will be allowed to edit the Users who do have a role in the Document such as the Author, Reviewer, Approver, and/or QA.
- Regular Users will have access to edit the entity roles of Documents that have been Published at least once (version 1.0+).
- Regular Users will only be able to see the Documents that have been assigned to the same Group(s) to which the Regular User has also been assigned as a User. In other words, they will also only be able to edit the entity roles of Documents that have been assigned to the same Group(s) to which the Regular User has also been assigned as a User.
Allowing Managers and/or Regular Users to edit entity roles in Trainings
This means that Managers and/or Regular Users who are not configured as Training Coordinators will be able to edit the entity roles in a Training such as Training Supervisors and/or Training Task Supervisors.
Allowing Managers and/or Regular Users to edit entity roles in Events
This means that Managers and/or Regular Users who do not have a role in an Event will be able to edit the entity roles (Detected By, Responsible Person, Investigators, and QA) while the Event is Under Investigation.
Allowing Managers and/or Regular Users to edit entity roles in CAPAs
This means that Managers and/or Regular Users who do not have a role in a CAPA will be able to edit the entity roles (Responsible Person, Approvers, QA, and Responsible Users for CAPA Actions) while the CAPA is in Created and in Implementing status.
Allowing Managers and/or Regular Users to edit entity roles in Change Control
This means that Managers and/or Regular Users who do not have a role in a Change Request will be able to edit the entity roles (Responsible Person, Approvers, QA, and Responsible Users for Change Request Tasks) while the Change Request is in Created and in Implementing status.
Allowing Managers and/or Regular Users to edit entity roles in Audits
This means that Managers and/or Regular Users who do not have a role in a Qualification will be able to edit the entity roles (Responsible Person and QA) while the Qualification is Under Qualification status.
This means that Managers and/or Regular Users who do not have a role in an Audit will be able to edit the entity roles (Lead Auditor, Additional Auditor, and Hosts) while the Audit is in either of the following statuses: Draft, Planned, In Progress and Audit Performed.
Allowing Managers and/or Regular Users to edit entity roles in Equipment
This means that Managers and/or Regular Users who do not have a role in Equipment will be able to edit the entity roles (Responsible person and QA) while the Equipment is in Created and OK status.
