Who can delete a CAPA?

  • Administrators can delete a CAPA, regardless of having a role in it.
  • Managers with a Role in the CAPA as Creator, Responsible Person, Approver, or QA will be able to delete a CAPA. 
  • Regular Users will not be able to delete a CAPA in spite of having a role in the CAPA.
  • Read-Only Users cannot delete a CAPA.

Can a CAPA be deleted in any status?

No, a CAPA can only be deleted while in Created status.

Can a deleted CAPA be restored?

Yes, deleted CAPAs can be restored.

Deleting a CAPA

  1. Go to CAPAs > CAPAs.
  2. In the CAPAs List, use the Filters and/or Search field to find the CAPA you wish to Delete.
  3. Select the CAPA by clicking on the check box to the left.
  4. In the With Selected drop-down at the bottom of the list, select Delete.
  5. Click on Apply.

In the CAPA deletion form:

  1. Sign off with your electronic signature.
  2. Introduce the Reason the CAPA is being deleted.
  3. Save.

If the CAPA was deleted successfully you will get the following notification Deleted successfully 1 out of the 1 selected CAPAs.

You can delete CAPAs in bulk by selecting more than one CAPA at the same time.

Deleting CAPA files

If you want to delete CAPA files (rather than a CAPA itself), whether deletion is possible depends on three elements: your role in the CAPA, where the file was originally uploaded from, and the CAPA's current status. Every deletion is recorded in the audit trail.

All uploaded files appear in the Files tab, with the source listed: "CAPA plan" means the file was added through the CAPA registration form (accessed via the pencil icon, or via New+ when creating a new CAPA), and "Add file button" means the file was added directly in the Files tab.

Who can delete the files and when

The user assigned as Responsible Person can delete any file, throughout the approval cycle, until the CAPA is closed. Once the CAPA is Closed, the registration form is locked. From that point on:

  • Files with source "CAPA plan" → can no longer be deleted.
  • Files with source "Add file button" → can still be deleted.
  Relevant for: Administrators / Managers.
