When can CAPA Actions be edited or deleted?
There are two different types of CAPA Actions:
- Custom Actions.
- These can only be edited or deleted while the CAPA is in Created status.
- Update Documents Action.
- These can be edited or deleted while the CAPA is in Created status.
- These can be deleted while the CAPA is in Implementing status.
CAPA Actions cannot be edited or deleted while in the remaining statuses: Under Signing By Approver, Under Signing By QA, Effectiveness Check Pending nor Effectiveness Pending Approval.
Who can edit and/or delete CAPA Actions?
Administrators can edit CAPA Actions regardless of having a role in the CAPA or not.
Managers and Regular Users can only edit CAPA Actions if they have a role in the CAPA (Responsible User, Approver, or QA).
How to edit or delete CAPA Actions while CAPA is in Created Status
While the CAPA is in Created status CAPA Actions can be edited or deleted either in the CAPA Creation Form or from the Actions Tab in the CAPA Details Page.
Editing or deleting Actions from the CAPA Creation Form
- Go to CAPAs > CAPAs.
- Use the Filters and/or Search field to find the CAPA you wish to edit.
- Once you have found the CAPA, click on the Actions button.
- Click on Edit.
In the CAPA Details Form, you can:
- Delete a Custom Action by clicking on the - icon. You will be asked to confirm before it is deleted.
- Edit the contents of a Custom Action.
- You can modify any or all its contents: Action Title, Due Date, Action Description, Responsible User(s), and/or Action File.
- Delete an Update Documents Action by clicking on the - icon. You will be asked to confirm before it is deleted.
- Edit the contents of an Update Documents Action:
- Remove Documents by clicking on the x in front of the Title of the Document.
- Add more Documents by clicking on the Action Documents field, then a list of all available Documents will appear for you to choose from.
- Edit the Action Description.
- Add more Custom Actions or Update Documents Actions by clicking on the + icon.
- Save once you finish editing.
Editing or deleting Actions from the CAPA Details Page
- Go to CAPAs > CAPAs.
- Use the Filters and/or Search field to find the CAPA you wish to edit.
- Click on the Title of the CAPA in question.
Editing Actions
In the CAPA Details Page:
- Go to the Actions Tab.
- Click on the Actions button of the Action you wish to edit.
- Click on the Edit Action.
If you click on Edit Action of a Custom Action, the Update Action window will appear. Here you will be able to edit the contents of a Custom Action.
- You can modify any or all its contents: Action Title, Due Date, Action Description, Responsible User(s), and/or Action File.
- Save.
If you click on Edit Action of an Update Documents Action in the Actions Tab of the CAPA Details Page, then the Update Action window will appear.
- Edit the contents of an Update Documents Action:
- Remove Documents by clicking on the x in front of the Title of the Document.
- Add more Documents by clicking on the Action Documents field, then a list of all available Documents will appear for you to choose from.
- Edit the Action Description.
- Save.
Deleting Actions
In the CAPA Details Page:
- Go to the Actions Tab.
- Delete the Custom Action by selecting the corresponding checkbox.
- Delete the Update Documents Action by selecting the corresponding checkbox.
- Select Delete from the With selected dropdown at the bottom of the Table.
- Apply.
In the CAPAs signing form:
- Sign off with your electronic signature.
- Provide a Reason for Deleting the Action(s).
- Save.
