If you are having problems seeing a Document, or a specific version of a Document it is probably because you do not have the right permissions.
There are different permission settings in the System that determine which users can see a Document and in which status/version they see it.
An Administrator can:
- See all Documents throughout their entire approval cycle from Draft to Published.
- It does not matter if they belong to the Group(s) to which the Document is assigned.
- It does not matter if they have a role in the Document or not.
A Manager can:
- See all Documents throughout their entire approval cycle from Draft to Published but only if the Manager belongs to the Group to which the Document has been assigned.
- Managers do not need to have a role in the Document in order to see it.
A Regular User can:
- View a Document only in Approved not Published and Published status and only if he/she belongs to the Group to which the Document has been assigned. In other words, Regular Users can only see versions 1.0, 2.0, 3.0, and so on.
- If a Regular User opens a document that is currently in version 1.2, he/she will only be able to see the last Published version which in this case would be version 1.0.
- A Regular User will only see the intermediate versions (0.1, 0.2, ...1.1, 1.2, etc) if he/she has a role in the Document (Author, Reviewer, Approver, or QA). In other words, only a Regular User with a role in the Document will be able to see the Document while it is in any of the following statuses: Created, Draft, Under Review, Under Signing By Approver, and Under Signing By QA.
A Read-Only User can:
- View a Document only in Approved not Published and Published status and only if he/she belongs to the Group to which the Document has been assigned. In other words, Read Only Users can only see versions 1.0, 2.0, 3.0, and so on.
- If a Read-Only User opens a Document that is currently in Draft status, version 1.2, he/she will only be able to see the last Published version which in this case would be version 1.0.
- A Read Only User cannot have a role in a Document.
